Job Description:

  • Manage the portfolio of hospitality assets as well as assist with the planning and delivery of VIP events
  • Plan, deliver and execute on VIP events with the support of Key Account Managers
  • Serve as a liaison between VIP team, various departments and suppliers while effectively communicating event needs
  • Conduct research to find best fit venues, entertainment providers and accommodations
  • Create post event summaries with details of areas of success and improvement
  • Maintenance of the VIP event requests board for efficiency and effectiveness of VIP event planning
  • Support procurement processes for VIP programs
  • Develop and maintain relationships with premium vendors and suppliers
  • Track and monitor VIP hospitality budgets
  • Prepare regular budget reports and forecasts for VIP
  • Negotiate contracts and pricing with vendors
  • Maintain detailed records of purchase orders, invoices, and payment schedules for audit readiness

Requirements:

  • Minimum 2 years of experience in high end event planning preferred
  • Excellent verbal and written communication skills
  • Confident and people focused personality
  • Ability to work well with other departments to ensure events are carried out successfully
  • Excellent analytical skills and experience with Excel
  • Working knowledge of Asana, Splash, Salesforce and SharePoint is a plus
  • Strives to meet targets and deadlines
  • Excellent organizational and planning skills
  • Ability to work on one or more events at a time
  • Intuitive / Problem Solver. Able to adapt in certain situations. Someone who is proactive and willing to test ideas, constantly looking for ways to enhance and stay ahead of the competition
  • Willing and able to work non-traditional business hours
  • Travel for this role is expected to be around 30%, weekdays and weekends
