Job Description & Core Responsibilities

As the Sales Virtual Assistant, you will work closely with our client and their team to manage essential administrative and contractual tasks that keep their sales operations running smoothly. You’ll be part of a highly organized support system, ensuring accuracy, timeliness, and professionalism in every aspect of the sales process.

  • Contract Processing: Manage the end-to-end processing of Australian real estate sales contracts, with a strong focus on Western Australia (WA) procedures and documentation
  • CRM Management: Utilize your VaultRE expertise to maintain, update, and manage all client and property data, ensuring accuracy and compliance.
  • Workflow Management (Trello): Manage project and task pipelines using Trello, ensuring all sales-related activities and deadlines are tracked and met on time.
  • Communication Hub: Handle and draft professional, clear, and prompt email communication with clients, solicitors, and internal stakeholders.
  • Administrative Support: Provide general administrative assistance and support to the Sales Manager, maintaining our highly structured and organized internal systems.

  • Do not have verifiable, practical experience using VaultRE.
  • Are unfamiliar with the process of handling Australian real estate sales contracts.
  • Prefer a highly flexible or unstructured work environment.
  • Are unable to commit to the required Western Australia time zone schedule.
  • Are beginners or new to a Sales VA role. We require an experienced professional ready to hit the ground running.Qualifications & Must-Haves

To be successful in this role, you must demonstrate proficiency in the following:

  • VaultRE: Proven, deep experience using VaultRE (mandatory).
  • Australian Contracts: Substantial experience processing and understanding Australian Real Estate sales contracts (Western Australia experience is a significant advantage).
  • Trello: Proficient in using Trello for task and workflow management (mandatory).
  • Communication: Excellent written communication skills for strong, professional email correspondence.
  • Work Ethic: Highly Organized, structured, and detail-oriented—you must be comfortable working within a tightly managed system.
  • Schedule: Ability to work full-time during the required WA business hours (9 AM – 6 PM PH time).

Job Type: Full-time

Pay: Php35,000.00 - Php45,000.00 per month
